CCTV Policy – North Baddesley Village Hall

1. Purpose of CCTV

The purpose of the CCTV system at North Baddesley Village Hall is to help:

Promote the safety and security of users, staff, and volunteers

Protect the building and its contents from crime, vandalism, and anti-social behaviour

Assist in investigating incidents or complaints

Support local law enforcement when necessary

The system is intended to operate in a way that respects the privacy of individuals while meeting the needs of the hall.

2. Scope

This policy applies to all users of the hall, including members of the public, hirers, staff, and volunteers, who may be recorded on the system.

3. Legal Basis

The use of CCTV at North Baddesly Village Hall  complies with:

The UK General Data Protection Regulation (UK GDPR)

The Data Protection Act 2018

The Human Rights Act 1998

The Protection of Freedoms Act 2012

The Village Hall Trustees (or Management Committee) act as the Data Controller for any footage recorded.

4. Description of the System

The system consists of [number] fixed cameras located around entrances, exits, and key public areas such as the car park and main entrance hall.

Cameras do not monitor toilets, private rooms, or changing areas.

The system does record sound.

CCTV operates 24 hours a day, 7 days a week.

5. Operation and Access

The system is monitored and maintained by the commitee, 

Only authorised individuals may view or download footage.

Images are stored on a secure device and are not routinely monitored unless an incident has occurred.

6. Storage and Retention

Footage is retained for up to [e.g. 21 or 30] days unless required for an investigation.

After this time, footage is automatically overwritten.

If footage is required as evidence, it may be retained securely for longer as needed.

7. Requests for Access to Footage

Individuals recorded on CCTV have the right to request access to footage that includes them (known as a Subject Access Request).

Footage may be shared with the police or insurers when there is a lawful reason to do so.

8. Signage

Clear signage is in place at all main entrances to inform visitors that CCTV is in operation, in line with legal guidance.

9. Misuse of the System

Any misuse of the CCTV system by staff, volunteers, or committee members will be taken seriously and may result in disciplinary action or referral to the police.

10. Review of Policy

This policy will be reviewed annually or sooner if needed due to changes in legal requirements or village hall operations.
